Office supplies for factories and plant offices

GODOWN sources office supplies for factories and plant offices across Delhi NCR: copier paper, toner and ink, barcode labels, files, registers, printed formats and desk stationery. In a plant they are bought by every department, in small amounts, which makes them classic tail spend: many invoices, little value each, and no clear total.

Two habits bring the category under control: tag every indent to a department or cost centre, and buy against a monthly list rather than whenever someone runs out. For printer consumables, the printer model and cartridge part number on the indent prevent most wrong deliveries.

With GODOWN, stationery goes on the same platform, customised to your workflow, and the same PO as your spares. Purchase gets one PO for the plant instead of a stream of cash bills, and every delivery comes with a GST tax invoice.

What we source

Office supplies we source for plants

  • Copier paper

A4 and A3 in 70, 75 and 80 GSM, sold by the ream of 500 sheets and usually in boxes of five reams.

  • Toner and ink cartridges

Laser toner, drums and inkjet cartridges matched to the printer model, in original or compatible versions. Dot-matrix ribbons still serve plants that print multi-part forms.

  • Barcode labels and ribbons

Direct thermal and thermal transfer labels on rolls, with wax, wax-resin or resin ribbons, for the barcode printers in stores, dispatch and QC.

  • Registers and printed formats

Stock registers, logbooks, gate pass books, delivery challan books and inspection formats, often in duplicate or triplicate on carbonless paper, with serial numbering.

  • Files and filing

Box files, lever arch files, ring binders, L-folders and document bags in A4 and FS sizes, for purchase, QC and HR records.

  • Writing instruments

Ball and gel pens, permanent and whiteboard markers, highlighters, and paint markers for writing on metal parts and bins.

  • Desk stationery

Staplers and pins, punches, glue sticks, scissors, sticky notes, clips and tapes.

  • Display and visual boards

Whiteboards, notice boards, and shift and KPI boards for the shop floor, with display holders for work instructions.

Spec checklist

What to put on a office supplies indent

Vendors quote the right part first time when the indent carries these. Missing details mean a round of calls before anyone can quote.

  • Paper: size (A4 or A3), GSM, and pack (ream of 500 sheets, box of reams). Use 75 or 80 GSM for double-sided printing and documents that leave the plant.
  • Printer consumables: printer make and model, the cartridge part number from the old cartridge, and whether only original or also compatible is acceptable. Compare quotes on rated page yield, not only price.
  • Labels: label size in mm, labels per roll, core diameter (usually 1 inch for desktop printers, 3 inch for industrial ones), direct thermal or thermal transfer, and the matching ribbon type and width.
  • Printed formats: your format or artwork, page count, number of copies (duplicate or triplicate), serial number range and binding.
  • Files and registers: size (A4 or FS), spine width or page count, ruling and material.
  • Pens and markers: tip size, ink colour, and the surface they write on (paper, whiteboard, metal or plastic).
  • Delivery point: the department and cost centre for each line, so the GRN and the store issue match the indent.

Questions

Buying office supplies: common questions

Which GSM paper is best for office printing?

For most laser printers and copiers, 75 GSM A4 is the everyday choice: it feeds reliably and costs less than 80 GSM. Use 80 GSM for double-sided printing, documents that go to customers or auditors, and high-volume machines where paper jams cost time. 70 GSM works for internal drafts but shows through when printed on both sides. Check the paper weight your printer maker recommends.

Are compatible toner cartridges worth it?

They can be, if you compare cost per page rather than price per cartridge. Compatible and remanufactured cartridges cost less, but yield and print quality vary between makers. Original cartridges are the safer choice for printers under a service contract, and for labels and documents that must scan cleanly. State on the indent whether compatible is acceptable, so every quote is for something you will actually accept.

How can a plant control stationery spend across departments?

Tag every indent to a department or cost centre, give each department a monthly budget, and buy against a monthly list instead of as needs come up. Review consumption by department every quarter and question the outliers. With GODOWN, the approval rules you already use are built into the platform, and purchase can place one PO for the plant instead of approving a stream of small bills.

Should office supplies go through the same procurement system as spares?

Yes, if you want to know what you spend on them. Office supplies are small, frequent and bought by many people, so they scatter across cash bills and petty-cash claims that nobody totals. Bought through GODOWN, they go on the same platform and PO as your spares, each delivery comes with a GST tax invoice, and finance gets a single view of the category.
