Procurement for pharma and chemical plants

GODOWN runs procurement for pharma and chemical plants: formulation units, API plants and chemical manufacturers buying maintenance spares, fittings, PPE and cleanroom consumables every week. Each indent, approval, PO, invoice and GRN sits on one record, so the first question in any audit, who bought this and on whose approval, has an answer.

In a GMP area a spare is rarely just a spare. A gasket on a purified water line or a motor in a solvent store has to match what was qualified, and a different make can mean a change control. GODOWN doesn't decide what is equivalent: your engineers specify the item, and the make you specify is the make you get.

Your process stays yours. GODOWN is customised to your approval matrix, plants and stores, can start from your item master in Excel, and works alongside your ERP if you run one. See the modules.

What's at stake

Where procurement hurts in pharma & chemicals plants

  • Purchasing records that hold up in an audit

GMP and customer audits ask for documented purchasing: who raised the requirement, who approved it, which vendor supplied it and against which invoice. With paper indents and email approvals, every answer means a search through files and inboxes.

  • Like-for-like spares

A diaphragm, mechanical seal or gasket in a different elastomer from the qualified part can trigger a deviation or a change control. Buyers need to know the exact make before anything is ordered, not just the price.

  • Hygienic fittings and hazardous-area electricals

SS 316L sanitary fittings are bought by grade and surface finish, usually with a material test certificate, and motors and light fittings in solvent areas need the right flameproof rating. Fewer vendors deal in items like these, so one slow reply holds up the whole job.

  • Cleanroom and PPE consumption

Gloves, coveralls, wipes and respirator cartridges are used every shift in production, QC and the warehouse. Running out stops work in a classified area; overbuying ties up store space and cash.

How GODOWN helps

Six modules, set up for pharma & chemicals.

  1. 01

    Indent

Requests are picked from your coded catalogue and carry the site, the machine and a photo of the part being replaced, so the specification travels with the requirement.

  2. 02

    Approvals

Sign-offs follow your existing approval matrix, and every approval and rejection stays on record with its reason, ready for a GMP or customer audit.

  3. 03

    Sourcing

Validated spares, SS 316L fittings, flameproof electricals, PPE and cleanroom consumables from one partner at benchmarked prices, in the make you specify and with no substitute you didn't approve.

  4. 04

    Buy Now & PO

One PO trail per plant, working alongside your ERP, instead of a separate paper trail for every vendor.

  5. 05

    Delivery & GRN

Every order is tracked to your gate, and each delivery comes with a GST tax invoice tied to its PO, so stores and QA receive against the same document.

  6. 06

    After-sales

If an item doesn't match its specification, GODOWN handles the return against the original PO and invoice, and any PO amendment stays on record.

Questions

What pharma & chemicals buyers ask us

Other industries: Automotive, FMCG & food.

Does GODOWN keep the purchasing records a GMP audit asks for?

GODOWN keeps a complete purchasing record, and your quality team judges how it fits your GMP system. Each purchase holds the indent with its site and machine, every approval or rejection with a reason, the PO, the GST tax invoice and the goods receipt. PO amendments are logged. GODOWN does not certify your plant or qualify vendors on your behalf.

Can we make sure we get the exact make of spare we validated?

Yes, by specifying it on the item. Code the spare in your item master with its make and part number, and that is the make you get: a different make is never ordered unless your team signs it off. The item, its make and the approval all sit on the purchasing record, so QA can see exactly what was bought and on whose authority.

Can we buy flameproof motors and fittings through GODOWN?

Yes, through the electricals and motors and drives categories. Specify the gas group, temperature class and the certification your safety team requires, such as PESO approval, and the equipment is bought to that specification at a benchmarked price. Your engineers confirm it suits the hazardous-area zone before approving, as they would with any supplier.

How do we stop running out of PPE and cleanroom consumables?

Put them on the same platform as every other purchase, so each requirement, store issue and receipt sits on one record by site. Consumption becomes visible before the shelf runs empty, repeat items such as gloves and coveralls are bought at benchmarked prices, and an urgent requirement for a classified area is prioritised over routine buying.
